Last Updated: 20 Sep 2026

This Shipping & Delivery Policy explains how orders placed with Urban Flame are processed, produced, dispatched, shipped and delivered.

Urban Flame supplies candles to business customers, including bulk, customised and private-label orders. Shipping and delivery conditions may vary depending on the product, quantity, customisation requirements, destination and transport method.

Important: Production time and transit/delivery time are separate. The time required to manufacture or prepare an order is not included in the time taken by the transporter or courier to deliver the goods after dispatch.

1. Order Processing

Orders are processed after the required order details, product specifications and applicable approvals have been received.

Where an advance payment is required for order confirmation or production, processing may begin only after the applicable payment has been received and verified.

For customised or private-label orders, additional approvals may be required before production begins.

2. Production Time

Production Time means the period required by Urban Flame to manufacture, prepare, pack and make the goods ready for dispatch.

Production time may vary depending on:

  • Product type
  • Order quantity
  • Product availability
  • Design and specifications
  • Packaging requirements
  • Raw material availability
  • Current production schedule
  • Customisation requirements
  • Private-label requirements
  • Seasonal or peak-order workload

Estimated production time, where applicable, will be communicated through the quotation, order confirmation or other communication with the customer.

Standard/estimated production time: [INSERT DETAILS]

Production time should not be confused with transit or delivery time.

3. Customised Order Production

Customised and private-label products are manufactured according to the customer’s approved requirements and may require additional production time compared with ready or standard products.

Production may depend on approval of applicable details such as:

  • Candle design
  • Colour
  • Fragrance
  • Size
  • Jar/container
  • Label or branding
  • Packaging
  • Artwork
  • Other custom specifications

Production of customised/private-label orders may begin after the required approvals and applicable advance payment have been received.

Any delay in providing approvals, artwork, specifications, payment or other required information may affect the production schedule.

4. Dispatch

Goods will be dispatched or released only after they are ready and all applicable dispatch requirements have been completed.

The full applicable payment/balance must be cleared before goods are dispatched or released unless Urban Flame has expressly agreed otherwise in writing.

Payment verification may be required before dispatch.

Dispatch details may be shared with the customer when available.

5. Shipping / Transport Methods

Orders may be shipped through courier, transporter, logistics service, cargo service or another suitable transportation method depending on factors such as shipment size, weight, destination and customer requirements.

Available shipping/transport methods: [INSERT DETAILS]

Urban Flame may coordinate an appropriate shipping method with the customer depending on the nature of the order.

6. Shipping Charges

Shipping, freight, courier, transportation, loading, handling or other logistics charges, where applicable, will be communicated or determined according to the order and shipping arrangement.

Shipping charge policy: [INSERT DETAILS]

Unless specifically stated otherwise in writing, customers should not assume that shipping is free or included in the product price.

7. Transporter / Courier

The transporter, courier or logistics provider used for an order may depend on the shipment size, destination, service availability and agreed shipping arrangement.

Transporter/courier selection policy: [INSERT DETAILS]

Where the customer requests or arranges a particular transporter, the applicable terms and responsibilities should be confirmed before dispatch.

8. Delivery Estimates

Transit/Delivery Time means the estimated period between dispatch of the goods and their delivery to the destination.

Transit time is separate from production time.

For example:

Total Order Timeline = Production/Preparation Time + Transit/Delivery Time

Any delivery estimate communicated by Urban Flame is an estimate and may depend on the transporter, destination, route, shipment size, weather, public holidays, operational conditions and other factors.

Typical transit/delivery estimates, if applicable: [INSERT DETAILS]

Unless expressly agreed in writing, an estimated delivery date should not be treated as a guaranteed delivery date.

9. Delivery Locations

Urban Flame supplies orders to delivery locations based on product, shipment, transport and service availability.

Current delivery/service areas: [INSERT DETAILS]

Customers should confirm delivery availability for their required destination before finalising an order where necessary.

Urban Flame should be informed promptly if any shipping information needs to be corrected before dispatch.

11. Large / Bulk Shipments

Large-volume and bulk B2B orders may require different packing, loading, transportation or freight arrangements compared with smaller shipments.

Depending on the order, goods may be packed in multiple cartons or other suitable transport packaging.

Special requirements for large or bulk shipments may be communicated separately.

Bulk shipment terms, if applicable: [INSERT DETAILS]

12. Tracking / Transport Details

Where tracking, consignment, LR, docket or other transport information is made available by the relevant transporter or courier, Urban Flame may share such information with the customer.

The availability and format of tracking information depend on the transportation service used.

13. Delays

Delivery may occasionally be affected by circumstances outside the expected schedule, including transporter delays, route disruptions, weather, operational issues, public holidays, strikes, regulatory checks or other logistical circumstances.

Where reasonably possible, Urban Flame may assist the customer in obtaining available shipment information.

14. Festival / Peak Season Delays

Production, dispatch and transportation may take longer during festivals, major gifting seasons, public holidays or other periods of unusually high demand.

Customers placing time-sensitive bulk, customised or private-label orders are encouraged to plan orders sufficiently in advance.

Any peak-season production or dispatch estimate communicated for a particular order should be treated separately from normal production timelines.

15. Force Majeure

Urban Flame will not be responsible for delays or failure to perform obligations to the extent caused by events beyond its reasonable control, subject to applicable law.

Such events may include natural disasters, severe weather, fire, flood, epidemic or pandemic restrictions, government actions, transport disruptions, strikes, civil disturbances, war, supply-chain disruptions or other events outside reasonable control.

16. Transit Damage

Customers should inspect shipments for visible damage at the time of delivery wherever reasonably possible.

If goods appear damaged during transportation, customers should preserve the packaging and provide appropriate evidence, such as photographs, videos, transporter documents and order details.

Transit damage claim/resolution procedure: [INSERT DETAILS]

Responsibility for loss or damage during transit may depend on the agreed shipping arrangement, transporter terms, insurance arrangements, applicable law and the specific circumstances of the shipment.

Legal Review Note: Clauses allocating liability or risk for goods damaged or lost during transportation should be reviewed by a qualified Indian legal professional before publication, particularly where Urban Flame arranges transport, the customer selects the transporter, or risk is intended to transfer at a particular stage.

If a customer believes that products, cartons or quantities are missing from a shipment, the customer should notify Urban Flame promptly and provide:

  • Order/invoice details
  • Details of the missing quantity
  • Photographs or video of the received shipment where available
  • Packaging/carton details
  • Transport or delivery documents where applicable
  • Any other information reasonably required to verify the issue

Verified cases will be handled according to the applicable order terms and circumstances.

18. Inspection at Delivery

Customers are encouraged to inspect the shipment upon receipt for:

  • Number of cartons/packages
  • Visible external damage
  • Obvious shortages
  • Incorrect shipment
  • Signs of tampering

Where applicable, visible issues should be noted on the delivery receipt, transporter document or proof of delivery before accepting the shipment.

19. Incorrect Address / Failed Delivery

Customers are responsible for providing accurate and complete delivery information.

If delivery fails because of an incorrect or incomplete address, unavailable recipient, refusal to accept delivery, incorrect contact details or another customer-related reason, additional transportation or handling costs may arise.

Urban Flame should be informed of address changes before dispatch. Changes requested after dispatch may not always be possible.

20. Re-delivery Charges

If a shipment needs to be re-delivered due to circumstances attributable to the customer, additional freight, courier, storage, return or re-delivery charges may apply.

Important Timeline Clarification

PRODUCTION TIME
The time Urban Flame requires to manufacture, customise, prepare and pack your order before it is ready for dispatch.

TRANSIT / DELIVERY TIME
The time taken by the courier, transporter or logistics service to move the shipment from the dispatch point to the delivery destination.

These are two separate time periods.

Customised and private-label candle orders may require additional production time because manufacturing may depend on specifications, artwork, labels, packaging, samples or other customer approvals.

Policy Note: This policy should be read together with Urban Flame’s applicable Terms & Conditions, Payment Policy, Cancellation/Refund Policy and other relevant policies.

Legal Review Recommendation: Before publishing this policy, Urban Flame should have the transit-risk, loss, damage, insurance and liability provisions reviewed by a qualified legal professional familiar with Indian B2B commercial and transportation matters.
